Product Tasks
As a Manager, you are responsible for keeping the product catalog accurate and up to date. This guide covers everything from adding a new product to keeping stock levels current.
1. Adding a New Product

Go to Products β All Products β New Product

Fill in the product details:

Scroll to Options and add any variant dimensions (e.g. Color, Size)

Scroll to Variants and fill in each variant:
- SKU (unique code, e.g.
TSHIRT-BLK-M) - Price
- Stock Quantity
- Upload images for this variant
- Set a thumbnail image

Mark one variant as Default

Set the product status to Published when ready

Click Save
[!WARNING] Do not publish a product until at least one variant has a price, a stock quantity greater than zero, and at least one image. Customers cannot purchase incomplete products.
2. Updating Stock Quantities
Update stock after receiving new inventory or after a manual stock count:
- Go to Products β All Products
- Search for or click the product you need to update
- In the Variants section, click Edit next to the variant
- Update the Stock Quantity field
- Click Save
[!TIP] If youβre updating stock for many variants at once, use the Bulk Edit option on the product list page to update quantities for multiple items without opening each product individually.
3. Setting Low Stock Alerts
Set a threshold so youβre notified before a variant runs out:
- Open the product β Variants
- Edit the relevant variant
- Set the Low Stock Threshold (e.g. 5)
- Save
When stock falls to or below this number, a Low Stock alert appears on your dashboard home screen and in the product list.
[!NOTE] Low stock alerts are dashboard notifications only. They do not automatically email customers or pause sales. You must act on them manually.
4. Publishing and Unpublishing Products
Publish a product (make it visible to customers)
- Open the product
- Find the Status toggle in the top-right panel
- Switch it to Published
- Click Save
Unpublish a product (hide it from customers)
- Open the product
- Switch the Status toggle to Draft
- Click Save
[!TIP] Unpublish rather than delete a product when you temporarily run out of stock or need to update its details. Deleting is permanent.
5. Updating Product Images
Adding new images to a variant
- Open the product β Variants
- Click Edit on the variant you want to update
- In the Images section, click Upload Image
- Select the image file (JPG or PNG, at least 800Γ800px recommended)
- To set the thumbnail, hover over an image and click Set as Thumbnail
- Click Save
Removing an image
- Open the variant edit view
- Hover over the image you want to remove
- Click the X button
- Save the variant
[!WARNING] A variant must always have at least one image. If you remove all images, the variant becomes ineligible for publishing.
6. Managing Categories and Collections
Creating a new category
- Go to Products β Categories β New Category
- Enter the category name (the slug auto-generates)
- Optionally select a Parent Category to nest it in a hierarchy
- Click Save
Adding a product to a category
Open the product β edit the Categories field β select the category β save.
Creating a collection
- Go to Products β Collections β New Collection
- Name the collection (e.g. βNew Arrivalsβ)
- Click Add Products and select items for the collection
- Upload a cover image
- Save and publish the collection
Adding products to an existing collection
- Open the collection
- Click Add Products
- Search for and select the products
- Click Save
